Security Highlights of the Dispatcher Stratus Platform

Security and Authentication

Dispatcher Stratus is designed to keep information secure, from login information to approval signatures and more. One of the many security features is customizable authentication for the solution and at the MFP. Organizations can configure login information for each user, including adding a Security Assertion Markup Language (SAML) provider like Entra ID, or let users configure it. At the MFP, users must authenticate using one of the configured methods, including:

• Username and Password
• Keyboard-Emulating Card Reader
• PIN

This is highly scalable, meaning that organizations from mom-and-pop shops all the way up to Fortune 500 companies can configure login information or integrate it with Entra ID or a similar existing authentication method. MFPs can also be configured for more public use, such as with guest printing (more on that below). There are many configuration options that can ensure data, documents, and devices are aligned with the organization's goals and needs.

Device Management and Security

Dispatcher Stratus lets organizations organize, maintain, and secure their devices. Konica Minolta devices can be imported from MarketPlace in seconds, and manually adding additional devices is a breeze. Once they are in the system, devices can be licensed, secured with Authentication (see above), and even monitored using the bizhub SECURE Notifier app integration to ensure security compliance.

Secure Workflow Automation

Dispatcher Stratus includes a What You See Is What You Get (WYSIWYG) workflow builder tool that allows users with little-to-no coding experience to create simple or complex workflows that automate everyday tasks like:

• File capture from MFPs, email, or third party Document Management Service (DMS)
• Form capture from internal or external users
• Data extraction using Optical Character Recognition (OCR)
• File renaming
• File conversion
• File routing
• File distribution to email, third party DMS, or MFPs for printing

Dispatcher Stratus also handles human-based interactions like approvals and collaboration with its innovative job system. Files and forms can be routed to individual users for commentary, collaboration, routing, additional documents, and eventual approval. This takes a number of manual processes and streamlines them into a single process that can be easily tracked and securely maintained across departments, branches, and even countries.

Secure Print

Building off the foundation of MFP security and authentication, Dispatcher Stratus can be used as a secure print release service. This ensures that documents aren't left at the MFP, where they can be stolen, misplaced, recycled, etc. It also cuts down on printing costs by reducing unnecessary prints.

Guest printing allows for temporary users such as conference attendees, temp workers, or visiting employees to print at connected MFPs. Public guest printing allows users like hotel guests or library users to print documents at an MFP from email attachments with a one-time PIN.

Archiving

Once a process is complete, Dispatcher Stratus maintains security with an encrypted job archive, allowing you to keep an accurate record of job approvals, attachments, notes, and more for years. By keeping accurate records, organizations can ensure that all the proper steps are taken during processes and identify if those processes break down so they can be addressed. This helps organizations maintain operational security and be prepared for any audits that may be necessary.
