In addition, users can enter a document name for the scanned documents, and processed files are annotated with the name that was entered at the MFP.
Dynamic Folder Creation
This sample workflow illustrates how Dispatcher Phoenix can dynamically create output folders based on OCR zones. Using the Advanced OCR node, zones are created (either automatically or by sizing a box on a sample document) to extract information from a scanned image file or PDF. This information is then used to route documents, populate fields, name folders, etc. For the purposes of this workflow, two folders are created, using OCR zone variables.
Scan to Email
The SMTP In node acts as an "Email Listener," receiving emails sent from an MFP. Email attachments can then be extracted and routed based on user-specified search conditions. In this workflow, scanned documents are emailed at the MFP and then routed to various conversion nodes based on the content of their email's subject line. For example, all attachments of emails that contain the word "PDF/A" are sent to a Convert to PDF node which is set up to convert incoming files to be optimized for PDF/A.
Scan to Folder and/or Email Address
In this workflow, users can scan their documents, enter a new name for them, and choose how to route them -- all at the MFP. Users can choose to route scanned documents to an Output Folder for storage or send them as an email to the appropriate recipient. To make things even speedier, the MFP user can choose from a list of email contacts that are pulled from a database.
Advanced OCR
Advanced OCR functionality allows you to route documents based on certain metadata information found in incoming documents. The Advanced OCR node allows you to define zones for incoming documents from which metadata is extracted; the Metadata Routing node uses that information to send documents to the proper destination. For example, you could use this workflow to route all documents with a certain invoice number to a particular folder on the network.
Annotation
Annotate and rename your files before storing them to an output folder with this sample workflow! With Dispatcher Phoenix, annotated files can be organized, accessed, and easily shared by a variety of associates at the company.
Watermark Blowback
With this sample workflow, a potentially time-consuming and tedious job is completed in no time. Scanned documents are automatically watermarked with a custom design, and the finished documents are sent directly to the printer again. This is an MFP Panel workflow, designed to be run from the control panel of a Konica Minolta MFP.
Image Clean Up
Enhance the quality of your scanned images with this workflow! In this workflow, documents are collected from an input folder and then run through image processing nodes to make sure that any spots from dust on the scanner are removed and the documents are straightened automatically. Then all processed files are renamed appropriately before being sent to an output folder for storage purposes.
Split/Rename Using Barcodes
With this workflow, documents are split and renamed by barcode. Dispatcher Phoenix automatically identifies where the barcodes are and splits the files whenever the barcode is detected. In addition, each split document is renamed with the barcode value. Before final distribution, all cover pages are stripped from the processed files.
Bates Stamp with Client Info
This workflow uses document indexing and database lookups to Bates stamp documents. At the MFP, users will be able to choose a client name and then Dispatcher Phoenix automatically looks up the client's address (based on what was selected at the MFP panel). This information is then automatically stamped on all incoming documents.
To run this workflow, you must copy the address.xls file to the following directory:
C:\Program Files\Common Files\Konica Minolta\PhoenixSampleFiles\ODBC\database.
Note: In order to use this workflow, you must upgrade your application to the latest 3.0 version.
Bates Stamp Based on Case
In this workflow, users can choose a case to Bates stamp with a numeric ID -- directly at the MFP. Numeric IDs are Bates stamped on incoming documents based on the case that is selected at the MFP panel.
Bates Stamp at MFP
With this workflow, users can customize their Bates stamps -- directly at the MFP! In addition, users can specify the output folder to store their scanned documents in.
Bates Stamp and Highlight
Eliminate the need for labor-intensive and time-consuming manual processing with this workflow! With our advanced Bates stamping functionality, an unlimited number of Bates stamps can be placed anywhere on a document, rotated, and positioned to not obscure the content of the document. Once Bates stamps have been applied, essential words in the documents are searched for and highlighted.
Bates Stamp and Redact
Removing sensitive information from documents just got easier with this sample workflow! Documents are Bates stamped and then run through the automatic Redaction process where words are permanently removed based on user-specified search terms.
Routing
Don't waste time using the wrong device to print your documents. With the Color Route and Page Count Route, files are easily and quickly routed based on the number (or percentage) of color and/or the number of pages in each document. This intelligent routing saves both time and money, allowing employees to focus on the important aspects of their jobs.
Convert and Route To Any Folder
This sample workflow illustrates the power and functionality that Dispatcher Phoenix's indexing brings to your workflow. Using this workflow, users can specify how to convert their scanned documents (to Searchable PDF, Microsoft Word, Microsoft Excel, or Microsoft PowerPoint) directly from the MFP panel. Once converted, documents are renamed using the metadata that was entered at the MFP and then stored in a user-specified folder on the Desktop.
Convert to Office
Our Convert to Office process converts scanned image files and PDFs to popular Microsoft Office formats, such as Word, Excel, and Powerpoint. With this workflow, emails enter the workflow and their attachments are extracted and converted to either Microsoft or and Microsoft Excel documents based on the content of their subject lines.
Convert to PDF
With this workflow, email attachments are converted to either PDF/A or PDF Searchable files (depending on the content of the email's subject line). The Convert to PDF process converts scanned images to a variety of PDF formats, including PDF/A compliant documents, and allows you to specify security settings for the output file(s).
ODBC Processing
This workflow showcases the power of associating your document workflow with ODBC-compliant databases. With Dispatcher Phoenix's ODBC process node, you can retrieve data from a database to associate it with incoming files as metadata to be used later in the workflow. In addition, you can update databases with file or workflow metadata. For example, with this automated workflow, names are extracted from documents (via OCR zones). The OCR metadata is then used to automatically retrieve the correct email address from an Excel spreadsheet. Once the email address has been found, files are emailed to the correct recipient using the SMPT Out node.
Note: In order to use this workflow, you must upgrade your application to the latest 3.0 version.
Email Parsing
Extract, route, and process email attachments based on user-specified conditions! With this sample workflow, emails are collected from the SMTP In node and then passed on to the Email Parser node for processing. The resulting files are Bates stamped and sent to the Metadata to File process, which is configured to output both the original file and the metadata file before distributing both files to an output folder ("Main Office").
Parse & Distribute
Search files for Postscript commands and, based on the search conditions that are met, send the files to the appropriate printer! This workflow consists of multiple pages: one for Black & White printers and one for Color printers. Note that the output folders in this workflow are connected; both folders on the second page are pasted versions of the same folders on the first page, meaning that any changes made to the output folder on the first page are immediately applied to the same output folder on the second page.
Parsing
Receive incoming files from a variety of sources and then process them based on their file type! Documents are collected from three different sources: a user box on an MFP, a folder on the network, and scanned directly from an MFP. Then they are run through multiple processes based on file type and printed out again. All errors are distributed via email to the IT department.
